HoldSpace ("we," "our," or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the HoldSpace iOS application and website (collectively, the "Service").

2. Information We Collect

We may collect the following types of information:

  • Account information: Name, email address, and company name when you contact us or create an account.
  • Booking data: Room names, booking times, and form responses you create within the app.
  • Calendar data: When you connect Microsoft 365 or Google Workspace, we access calendar events and room resources necessary to display availability and create bookings.
  • Device information: Device type, operating system version, and app version for troubleshooting and compatibility.
  • Usage data: Anonymous analytics about feature usage to improve the Service.

3. How We Use Your Information

  • Provide, maintain, and improve the Service
  • Sync bookings with your connected calendar providers
  • Create conferencing meetings (Zoom, Webex) on your behalf when using Enterprise features
  • Send push notifications about upcoming bookings (Enterprise tier, with your consent)
  • Respond to your inquiries and support requests
  • Detect, prevent, and address technical issues

4. Data Storage & Security

Free tier data is stored entirely on your device using local storage. No data leaves your device unless you upgrade to Pro or Enterprise and connect a cloud calendar provider.

For Pro and Enterprise tiers, calendar data is transmitted directly between your device and the calendar provider (Microsoft Graph or Google Calendar APIs) using encrypted connections. Enterprise backend services run on Microsoft Azure with industry-standard security measures.

5. Third-Party Services

We integrate with the following third-party services, each governed by their own privacy policies:

  • Apple App Store (subscription management via StoreKit 2)
  • Microsoft 365 / Microsoft Graph API (calendar sync, Teams meetings)
  • Google Workspace / Google Calendar API (calendar sync, Google Meet)
  • Zoom (meeting creation, Enterprise tier)
  • Webex (meeting creation, Enterprise tier)

6. Data Retention

We retain your data only for as long as necessary to provide the Service. Local data is stored on your device and deleted when you uninstall the app. Cloud-synced data follows the retention policies of your connected calendar provider. You can request deletion of any data we hold by contacting us.

7. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Object to or restrict processing of your data
  • Data portability

8. Children's Privacy

The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe we have collected such information, please contact us so we can promptly delete it.
